The Magical Trips Team of Independent Travel Businesses is committed to providing professional, transparent, and personalized travel planning services.

For the purposes of these Terms & Conditions, the term "Client" refers to the individual requesting, authorizing, purchasing, receiving, or travelling under any travel arrangements booked, planned, facilitated, or managed by Magical Trips Inc., Trevello Travel Group, or an independent travel advisor affiliated with the Magical Trips Team. Where one individual acts on behalf of multiple travellers, that individual represents and warrants that they are authorized to act on behalf of all travellers included in the booking and to accept these Terms & Conditions on their behalf.

Please review the following Terms & Conditions carefully before proceeding with your booking.

By submitting a Travel Request, providing payment information, signing a Travel Authorization Form, verbally authorizing travel arrangements, using this website, using our affiliate links, or otherwise engaging our services, the Client acknowledges that they have read, understood, and agreed to these Terms & Conditions.

✔️ Agreement Acknowledgement

By submitting a Travel Request, providing payment information, signing a Travel Authorization Form, verbally authorizing travel arrangements, using this website, using our affiliate links, or otherwise engaging our services, the Client acknowledges and agrees that:

  • They have read and understood these Terms & Conditions.
  • They accept all applicable supplier Terms & Conditions.
  • They accept full financial responsibility for their booking.
  • They understand the risks associated with travel.
  • They agree to all cancellation, chargeback, liability, and financial responsibility provisions outlined herein.
  • They are authorized to act on behalf of all travellers included in the booking and to accept these Terms & Conditions on their behalf.

Electronic communications, electronic signatures, online authorization forms, and electronic payment authorizations shall have the same force and effect as original written signatures to the fullest extent permitted by applicable law.

Failure to read, review, or understand these Terms & Conditions does not waive, limit, reduce, or otherwise affect their applicability or enforceability.

Booking Terms and Conditions

Role of the Travel Advisor

The Magical Trips Team acts solely as an independent travel advisor and intermediary between travellers and travel suppliers.

Our role is to provide:

  • Travel planning and consultation
  • Booking and reservation assistance
  • Supplier coordination
  • General travel information and guidance

Travel services are provided by independent third-party suppliers, including airlines, cruise lines, hotels, resorts, tour operators, transportation providers, insurance providers, and other travel-related companies.

Magical Trips Inc., Trevello Travel Group, and independent travel advisors do not own, operate, manage, control, or provide these travel services and cannot guarantee the actions, performance, policies, schedules, pricing, availability, or information provided by third-party suppliers.

While we strive to provide accurate and up-to-date information, travel requirements, supplier policies, schedules, pricing, availability, and destination information may change without notice.

All travel arrangements remain subject to the terms, conditions, policies, and operational decisions of the applicable travel suppliers. Travellers are responsible for reviewing and understanding all supplier terms and conditions before travel.

Pricing, Availability & Quotations

All prices, promotions, supplier offers, itineraries, schedules, availability, and travel components are subject to change without notice until booked, deposited, and confirmed by the applicable travel supplier.

Travel quotations are provided for informational purposes only and do not constitute a reservation, hold, guarantee of availability, or guarantee of price unless expressly confirmed in writing.

Prices may change at any time due to factors including, but not limited to:

  • Supplier pricing changes
  • Changes in inventory or availability
  • Exchange rate fluctuations
  • Fuel surcharges
  • Government taxes and fees
  • Port charges
  • Occupancy changes
  • Supplier-imposed fees or surcharges
  • Changes requested by the traveller

A travel booking is not considered confirmed until all required deposits or payments have been received, processed, and accepted by the applicable supplier and a confirmation has been issued.

Quoted pricing may become unavailable at any time prior to confirmation, even where payment information has been submitted but the booking has not yet been successfully processed and confirmed by the supplier.

Neither Magical Trips Inc., Trevello Travel Group, nor independent travel advisors are responsible for supplier pricing changes, inventory reductions, promotional expirations, system errors, exchange rate fluctuations, or availability changes that occur before a booking is confirmed.

Supplier Terms & Conditions

All travel arrangements are subject to the Terms & Conditions, rules, policies, and contractual requirements of the applicable travel supplier(s).

It is the Client's responsibility to read, understand, and accept all supplier Terms & Conditions before authorizing payment or confirming any booking. Travel suppliers reserve the right to modify their policies, schedules, pricing, itineraries, services, and operational requirements at any time.

Supplier policies may include, but are not limited to:

  • Cancellation penalties
  • Change fees
  • Non-refundable deposits and payments
  • Payment schedules and final payment deadlines
  • Schedule, itinerary, aircraft, ship, or accommodation changes
  • Refund eligibility and processing timelines
  • Travel documentation and entry requirements
  • Passport, visa, and transit requirements
  • Health, vaccination, testing, and medical requirements
  • Baggage restrictions and fees
  • Age, mobility, and accessibility requirements
  • Supplier-imposed travel rules and conditions
  • Codes of conduct and guest behaviour policies

Deposits, Final Payments & Payment Deadlines

Many travel arrangements require an initial deposit at the time of booking, with the remaining balance due on or before the supplier's final payment date.

The Client is responsible for ensuring that their travel advisor has all information necessary to process deposits, final payments, and any other authorized charges by the applicable supplier deadlines. Failure to make payment by the required deadline may result in cancellation of the booking, loss of deposits, supplier-imposed penalties, increased pricing, loss of promotional offers, or other consequences determined by the supplier.

Where permitted by the supplier, automatic payment arrangements may be established. The Client acknowledges and agrees that authorization of a booking constitutes authorization for the full value of the travel arrangements, including any applicable deposits, scheduled payments, final payments, taxes, fees, gratuities, and supplier-imposed charges associated with the booking.

The Client further authorizes the travel advisor to process deposits, scheduled payments, final payments, taxes, fees, gratuities, and other supplier-imposed charges associated with the authorized booking using the payment method(s) provided, in accordance with supplier payment schedules one business day prior, previously authorized payment instructions, and any applicable automatic payment arrangements.

Unless otherwise instructed in writing and acknowledged by the travel advisor prior to the applicable payment deadline, the travel advisor may rely upon the most recent valid payment authorization and payment information provided by the Client for the purpose of processing scheduled payments associated with the booking.

The Client is responsible for ensuring that:

  • Authorized payment methods remain valid and active.
  • Sufficient funds or credit are available at the time of processing.
  • Updated payment information is provided prior to the applicable payment deadline.
  • Any required payment authorizations, traveller information, documentation, or instructions are provided to the travel advisor in sufficient time to meet supplier deadlines.
  • The travel advisor is promptly notified of any changes to payment methods or billing information.

Magical Trips Inc., Trevello Travel Group, and independent travel advisors are not responsible for cancellations, penalties, supplier-imposed fees, loss of promotions, increased pricing, or other consequences resulting from declined payments, expired payment methods, insufficient funds, incomplete authorizations, missing traveller information, late instructions from the Client, or the Client's failure to provide updated payment information.

Payment reminders may be provided as a courtesy; however, the Client remains solely responsible for monitoring and complying with all payment deadlines.

Magical Trips Inc., Trevello Travel Group, and independent travel advisors act solely as intermediaries between travellers and travel suppliers and are not responsible for supplier policies, supplier decisions, or changes made by suppliers before, during, or after travel.

By proceeding with a booking, authorizing payment, or travelling, the Client acknowledges that they have accepted all applicable supplier Terms & Conditions and agree to be bound by those terms, whether provided directly by the supplier, made available through supplier websites, or communicated as part of the booking process.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance to protect your travel investment and encourage all travellers to carefully consider their insurance needs before travelling. If you already have travel insurance coverage, it is important to fully understand your policy, including any limitations, exclusions, eligibility requirements, and coverage amounts.

We frequently hear travellers say they have coverage through their credit card or employer-sponsored benefits plan. While credit cards may provide some protection, coverage is often subject to significant limitations related to age, trip cost, trip duration, medical conditions, coverage amounts, and eligible travel expenses. Employer-sponsored coverage is often limited to emergency medical benefits and may not include trip cancellation, trip interruption, travel delays, baggage protection, or other important travel-related coverages.

In both cases, it is important to understand exactly what coverage you have before travelling. Once your existing coverage has been reviewed, additional coverage or top-up insurance may be required to ensure you have adequate protection for your specific trip and travel circumstances.

Coverage options may include:

  • Trip cancellation and interruption
  • Emergency medical coverage
  • Medical evacuation
  • Travel delays
  • Lost or delayed baggage
  • Supplier default or bankruptcy coverage

Travel insurance is not automatically included with travel arrangements and must be purchased separately where available and desired.

If you decide to plan a trip/travel uninsured, you acknowledge that:

  • You understand the risks associated with travelling uninsured
  • You accept full financial responsibility for any losses or expenses
  • You assume responsibility for cancellations, medical emergencies, travel interruptions, and unforeseen events

Certain Professional Planning Fees may be claimable under some insurance policies. Please consult a licensed insurance advisor regarding your eligibility and coverage options.

Please Note

Not all travel advisors are licensed to sell travel insurance, and some advisors may only be licensed in select jurisdictions.

If your advisor has not provided travel insurance options, it is recommended that you contact a licensed insurance provider to discuss your coverage needs.

If you are unsure who the licensed insurance providers are in your area, travel insurance may also be purchased through the following platforms or by emailing bookings@trevello.com and copying your travel advisor on the correspondence.

Before purchasing any insurance policy, please ensure you carefully read and understand the policy wording, coverage limits, exclusions, terms, and conditions.

Government Travel Advisories & Entry Requirements

Clients are responsible for monitoring and complying with all Government of Canada travel advisories and destination entry requirements.

This includes, but is not limited to:

  • Passport validity requirements
  • Visa requirements
  • Vaccination requirements
  • Health regulations
  • Safety advisories
  • Entry and exit restrictions
  • Customs and immigration requirements
  • Transit requirements
  • Any other destination-specific travel requirements

Travel requirements, entry policies, and government advisories may change at any time without notice and may differ based on citizenship, residency status, place of birth, travel history, and other personal circumstances.

It is the traveller's responsibility to ensure compliance with all travel requirements prior to departure and throughout their journey.

The Government of Canada Travel Advice and Advisories website is a valuable resource; however, travellers should not rely solely on this source when determining their eligibility to enter a destination.

If you have any concerns regarding passport validity, visas, residency status, citizenship, dual citizenship, entry requirements, vaccinations, medications, medical devices, accessibility needs, gender marker requirements, or your specific travel circumstances, you should contact the embassy, high commission, consulate, or official government authority of the country or countries you plan to visit or transit through before making final travel arrangements.

Embassy, consular, and immigration officials are the ultimate authority regarding entry, transit, and admission requirements and have sole discretion regarding admission into their country.

Neither Magical Trips Inc., Trevello Travel Group, nor independent travel advisors are responsible for denied boarding, denied entry, refusal of admission, deportation, detainment, travel delays, missed travel services, additional expenses, financial losses, or other consequences resulting from a traveller's failure to obtain, maintain, understand, or comply with required travel documentation, entry requirements, transit requirements, health requirements, or government regulations.

Traveller Responsibilities

To protect your travel investment and the personal well-being of you and your travelling companions, you are responsible for:

  • Reviewing supplier Terms & Conditions
  • Monitoring government travel advisories
  • Obtaining valid passports, visas, and required travel documentation
  • Securing appropriate travel insurance
  • Following local laws and regulations
  • Exercising reasonable caution during travel
  • Protecting your personal belongings

Travel involves inherent risks, including risks that may arise from weather, transportation disruptions, illness, crime, political events, supplier actions, and other circumstances beyond our control. All travel is undertaken at the traveller's own risk.

While we strive to provide professional guidance and support, neither Magical Trips Inc., Trevello Travel Group, nor independent travel advisors can guarantee:

  • Personal safety
  • Supplier performance
  • Uninterrupted travel
  • Availability of services
  • Entry into any destination
  • The accuracy of information provided by third parties
  • Protection from travel disruptions, delays, cancellations, or unforeseen events

Professional Planning Fees

Professional Planning Fees charged by members of the Magical Trips Team compensate advisors for their time, expertise, consultation, research, itinerary design, administrative work, and professional travel planning services.

Professional Planning Fees compensate advisors for professional services rendered and are not deposits toward travel services unless expressly stated otherwise in writing.

All Professional Planning Fees are:

  • 100% non-refundable
  • Separate from supplier charges
  • Not subject to supplier refund policies
  • Earned upon payment and/or commencement of services

Professional Planning Fees remain payable regardless of:

  • Cancellation
  • Changes to travel plans
  • Supplier disputes
  • Supplier bankruptcy or insolvency
  • Travel interruptions
  • Denied refunds
  • Supplier-imposed penalties or fees

Refunds, credits, or compensation provided by a travel supplier do not affect the advisor's entitlement to Professional Planning Fees that have been earned.

Cancellation Policy & Fees

If your trip is cancelled for any reason, please note:

  • Professional Planning Fees remain fully non-refundable.
  • Cancellation requests often require significant additional administrative work.
  • We will make reasonable efforts to advocate on your behalf with suppliers where appropriate.
  • All payments made toward travel arrangements are subject to the cancellation policies, refund rules, and Terms & Conditions of the applicable travel supplier.

Refund decisions are made solely by the supplier and not by Magical Trips Inc., Trevello Travel Group, or your independent travel advisor.

If your cancellation may be covered by insurance, it is your responsibility to contact your insurance provider immediately and initiate the claims process.

Cancellation Fee: $150 CAD plus applicable taxes

Due to the additional administrative work associated with cancellations, supplier negotiations, booking management, documentation updates, and cancellation processing, a Cancellation Fee will apply when a client elects to cancel a travel booking.

This fee applies per booking file and may vary for group bookings, multiple reservation files, or complex itineraries where disclosed in writing prior to booking confirmation.

This fee helps compensate advisors for the significant time and professional services already invested in the planning, management, and administration of the booking.

Supplier cancellation penalties, supplier fees, and other charges may apply separately and are in addition to any Cancellation Fee charged by the advisor.

Unless otherwise stated in writing at the time of booking, the Cancellation Fee is $150 CAD plus applicable taxes. A higher Cancellation Fee may apply where disclosed and agreed to in writing prior to booking confirmation due to the complexity of the booking, the scope of services provided, or the anticipated administrative work associated with cancellation.

Chargebacks, Payment Disputes & Financial Responsibility

By authorizing payment for travel services, you acknowledge that you have reviewed and accepted the travel arrangements being purchased and agree not to initiate a credit card chargeback, payment reversal, or dispute for properly authorized travel-related charges without first making reasonable efforts to resolve the matter directly with the travel supplier, travel advisor, or agency.

In the event a client initiates an improper, fraudulent, unwarranted, or unauthorized chargeback, payment dispute, reversal, or claim against a travel supplier, advisor, agency, host agency, merchant processor, or financial institution, the client acknowledges and agrees that any resulting financial consequences remain the client's responsibility.

Should any supplier, financial institution, merchant processor, cruise line, tour operator, hotel, airline, insurance provider, or other third party recover, charge back, debit, offset, withhold, reclaim, or otherwise seek reimbursement from:

  • Magical Trips Inc.
  • Trevello Travel Group
  • The independent travel advisor
  • Any affiliated agency, consortium, host agency, or travel partner

as a result of a client-initiated chargeback, payment dispute, reversal, or claim, the client agrees that:

  • Magical Trips Inc., Trevello Travel Group, the independent travel advisor, and any affiliated agency shall not be financially responsible for reimbursing the supplier, merchant processor, financial institution, or third party on the client's behalf.
  • Any amounts recovered, charged back, debited, withheld, reclaimed, or assessed against Magical Trips Inc., Trevello Travel Group, the independent travel advisor, or any affiliated agency shall remain the sole financial responsibility of the client.
  • The client agrees to immediately reimburse such amounts upon demand.
  • Any commissions recalled, debit memos issued, supplier recovery demands, administrative penalties, merchant processing fees, collection costs, court costs, legal expenses, interest, or other related losses arising from the dispute shall remain the responsibility of the client to the fullest extent permitted by applicable law.
  • The advisor and/or agency reserves the right to pursue recovery through collections, legal action, small claims court, or any other remedy available under applicable law.

For greater certainty, a chargeback, payment dispute, reversal, or recovery action does not extinguish, reduce, or alter the client's underlying financial obligation for properly authorized travel services, supplier-imposed charges, cancellation penalties, professional planning fees, or any amounts subsequently recovered from the agency, advisor, or host agency as a result of the client's actions.

Magical Trips Inc., Trevello Travel Group, and independent travel advisors are not financially responsible for:

  • Supplier refund decisions
  • Supplier cancellation penalties
  • Supplier bankruptcy or insolvency
  • Denied refund requests
  • Supplier policy disputes
  • Schedule changes
  • Government actions or travel restrictions
  • Force majeure events
  • Travel interruptions outside of our reasonable control

Any Professional Planning Fees refunded, reversed, or recovered through a chargeback, dispute, or payment reversal process shall remain immediately due and payable if such fees were properly disclosed, authorized, and earned.

Fraudulent, abusive, repeated, or bad-faith chargebacks may result in the cancellation of future services, termination of the client relationship, refusal of future bookings, and the pursuit of all available legal remedies.
